For Gmail: what’s different
Gmail’s own signature editor makes it hard to line up a logo, contact details and social icons. Build the signature here, copy it, and paste it straight into Gmail’s settings with the layout intact.
Images in the signature are linked rather than attached, so they don’t turn every email into one with an attachment, and they show up in Gmail on phones too.
What works
- In Gmail, click the gear icon, then See all settings. On the General tab, scroll to Signature and click Create new.
- Paste with Cmd/Ctrl + V, not “paste as plain text”, or the layout is lost.
- Scroll to the bottom of the settings page and click Save Changes. It’s easy to miss.
- Set the signature as the default for both new emails and replies.
- Send a test to a different address and check it on your phone.

Questions
Why does my logo not show up in Gmail?
Gmail can only show images that are already online. Paste the https:// address of your photo or logo, not a file from your computer.
Does it work in the Gmail app on my phone?
The Gmail mobile app uses its own plain-text signature, but emails sent from Gmail on the web still show the full signature on any device.
Can I use it with Google Workspace?
Yes. Workspace accounts use the same Gmail settings.
