For Outlook: what’s different
Outlook’s signature editor is fine for text and frustrating for anything else. Build the layout here, copy it, and paste it into Outlook with the columns and images where you left them.
The signature uses simple tables and web-safe fonts, which is what Outlook renders most reliably on Windows, Mac and the web.
What works
- In Outlook on the web or new Outlook, open Settings, then Accounts, then Signatures.
- Click New signature, name it, and paste with Cmd/Ctrl + V.
- Choose it as the default for new messages and for replies and forwards, then click Save.
- Signatures don’t sync between classic Outlook and Outlook on the web, so paste it into each one you use.
- Stick to Arial, Helvetica or Georgia. Outlook swaps unusual fonts for Times New Roman.
How to use it
- 1.Enter your details and social links.
- 2.Choose a layout, colour and font. The email preview updates as you go.
- 3.Copy it and follow the steps for your email app.
Questions
Why does my signature look different in classic Outlook for Windows?
Classic Outlook uses Word to draw emails. The signature is built with tables so it holds up, but spacing can shift a few pixels.
Can I add my logo?
Yes. Paste the https:// address of a logo that’s already online. It’s shown in a circle, so a square logo with some space around it works best.
Will images show as attachments?
No. Images are linked from the web, so emails don’t arrive with attachment icons.
