Negative reviews: what’s different

A bad review stings, and the first reply you write is usually the wrong one. The reply isn’t really for the reviewer. It’s for the next hundred people reading it, who want to see you take a problem seriously without getting defensive.

Good replies to negative reviews follow the same shape: thank them, own the specific problem, say what you’ve changed, and offer a way to put it right offline. Paste the review below and you’ll get three replies in that shape.

What works

  • Reply within a day or two. A fast, calm reply shows readers the business is paying attention.
  • Name the actual problem (“the 40-minute wait”), not “your experience”. Vague apologies read as copy and paste.
  • Don’t argue facts in public, even if the review is unfair. Offer to talk it through by phone or email.
  • Say what you changed, if anything. That’s the line future customers trust most.
  • Keep it under about 100 words. Long replies look defensive.
  • Never offer a refund or freebie in the public reply. It invites copycat reviews.

Three ways to answer a 1-star review

Own it
Hi Priya, thank you for telling us, and I’m sorry. Your order should never have arrived cold, and an hour is far too long. We were short a driver on Friday, and we’ve since capped evening deliveries so it doesn’t happen again. I’d like to make it right: please email me at hello@saffronkitchen.com.
Warmer
Priya, I’m really sorry your Friday dinner went like this. Cold food after an hour’s wait isn’t what we want anyone to get from us. We’ve limited how many deliveries we take at once on busy nights. If you’re willing, email me directly and I’ll sort it out personally.
Short
Sorry, Priya. Cold food after an hour is not OK. We’ve capped Friday deliveries to fix it. Please email hello@saffronkitchen.com so we can make it right.

Questions

Should I reply to every negative review?

Yes, if you can. A reply is your only chance to show other readers your side calmly. Unanswered bad reviews look like nobody is listening.

What if the review is fake or from someone who was never a customer?

Reply briefly and politely, say you can’t find a record of the visit and ask them to get in touch. Then report it to the platform. Don’t accuse anyone in public.

Can a reply get a review changed?

Sometimes. Fixing the problem offline and then politely asking if they’d update the review works more often than people expect.
